Refer and earn program terms

Archived program terms. Applies to matters retaining this earlier saved version. Current terms

Version dated 26 October 2026. These terms govern the optional BELVOYA referral program. Enrollment, settlement and credit availability are displayed on the program page. Publishing these terms does not activate unavailable features.

1. Operator and contact

K&K Global Solutions sp. z o.o., ul. Józefa Sowińskiego 59/46, 01-105 Warszawa, Polska. NIP: 5842854900, KRS: 0001117071 (Sąd Rejonowy dla m.st. Warszawy w Warszawie, XIII Wydział Gospodarczy Krajowego Rejestru Sądowego), REGON: 529188511. Share capital: 5 000 zł.

Send applications, questions, complaints and requests to leave the program using the BELVOYA contact form or by post to the address above.

2. Optional participation

Participants must be adults with their own BELVOYA account, or businesses represented by an authorised person. Joining is free and requires a separate choice of reward type, accurate details, acceptance of this version and an application. Ordinary account registration or sign-in does not enroll anyone.

Applications are reviewed manually. A pending application does not provide an active link or earn rewards. The application and subsequent status appear in the dashboard. An unavailable option does not accept public applications; a pilot covers only expressly admitted accounts.

3. Two settlement options

“Collect credit for travel”: individual rewards can only reduce payment for your own supported BELVOYA bookings once that feature is available. The credit itself cannot be requested as a cash payout, transferred to another user or converted into business commissions. The exceptional cancelled-booking refund method in section 9 does not create a general right to withdraw credit. Individuals do not provide company details or a payout account.

“Invoice commissions as a business”: for businesses with a Polish tax identification number that issue valid invoices and use a PLN account with a PL number. Available commission can be paid after documents and settlement are approved. Changing option requires contact and verification and does not retrospectively convert individual credit into cash.

4. Referral attribution

The program covers new accommodation bookings settled in PLN after a valid visit through an approved participant’s active link. Flights, older bookings and charges paid directly at the property are excluded. A declaration alone cannot retrospectively attribute a purchase.

The current program configuration states the attribution window, initially 30 days from the click. The last valid recorded referral before the booking order is created receives attribution. A later click does not change an existing booking. Removing the referral identifier, blocking browser storage or switching devices without preserved attribution may prevent recognition.

Participants do not earn rewards from their own bookings through their own links. Each booking belongs to one participant and one reward tier. A click, search or started payment alone does not earn commission.

5. Reward amounts and rule versions

The current tier and reward table forms part of the program rules and is available before applying on the Refer and earn page. A reward is a fixed amount for one booking’s tier, rather than a percentage or an aggregate of purchases. The basis is the settled accommodation value in PLN less confirmed refunds, excluding charges paid directly at the property.

The rate and period version is saved when the booking order is created. Later configuration changes do not reduce the reward for an already attributed booking; its final value still depends on the completed, settled stay and any correction. The dashboard shows the basis, reward and status.

For businesses, table amounts are net commission; VAT is accounted for separately under the valid invoice. For individuals, the table shows the nominal reward. Where law requires tax withholding or a document, the available amount and settlement reflect that requirement. The program does not promise tax exemption.

6. Pending and available rewards

A pending reward is conditional and is not available credit. Release requires a confirmed and paid booking, a completed stay, expiry of the settlement period in the saved rule version and operator verification. The initial period is 14 days after the stay ends; this is the earliest review point, not a promise of automatic payment on that date.

An unresolved booking, uncertain payment, cancellation, refund or payment dispute pauses the affected settlement. The dashboard separates pending, available and reserved amounts. Funds reserved for one request or booking cannot simultaneously be used again.

7. Business invoices and payouts

Before invoicing, check the approved net commission, current buyer details and service description in the dashboard. The buyer is the operator in section 1; the dashboard also supplies details for each settlement. Invoices must identify the correct issuer and buyer, number, net amount, applicable VAT and gross amount. Upload the document using the private PDF form and also comply with any legally required issuance or delivery channel.

After invoice acceptance, request payout and provide a PL business bank account. The net amount is reserved from the balance; the transfer includes the accepted invoice’s gross amount. Requests are manually checked. A rejection and reason appear in the dashboard and release its reservation. One invoice can support one payout request. Repeated clicks or document uploads do not create another payout; arrange correction of a rejected settlement with the operator.

We transfer funds manually to the accepted account by the accepted invoice’s payment due date. If the amount, deadline, document or account needs clarification, we notify the participant and agree corrections before approving settlement. “Approved” does not mean the bank has already credited the funds. “Paid” is recorded after the transfer has been executed with its confirmation.

8. Using travel credit

The individual option is available only when both the program and checkout expressly offer credit payment. Only available credit, supported currencies and supported bookings can be used. Before payment, checkout shows the booking price, credit contribution and remaining card payment. Full-credit payment is possible only when supported by checkout.

The contribution is reserved while payment and booking confirmation are processed. An uncertain outcome keeps it reserved until resolved so the same credit cannot fund a second booking. A reservation is released after a confirmed failure and verification that the supplier did not use the funds. Program credit does not allow cash top-ups or person-to-person transfers.

9. Cancelling a credit-funded booking

Refund eligibility and amount depend on the selected rate’s conditions and confirmed supplier settlement. Cancellation does not always mean a full refund. The preferred method preserves original funding sources: the customer’s card contribution returns to the customer’s original payment source, and the credit-funded share is settled by the supplier to BELVOYA’s card and restored as travel credit to the participant’s account after that settlement is confirmed.

For a full fee-free refund to original sources, a PLN 1000 booking paid with PLN 200 credit and PLN 800 on the customer’s card restores PLN 200 credit and returns PLN 800 to the customer’s card. For partial refunds and cancellation fees, allocation follows verified settlement of both funding sources and cannot exceed their original contributions. An aggregate refund amount alone cannot trigger automatic credit restoration.

If a split to original sources is impossible, the entire eligible refund may exceptionally return to the customer’s card, but only where the supplier supports that method and its actual execution is confirmed. No travel credit is restored in that case: a full PLN 1000 refund to the customer’s card for the example above restores PLN 0 credit. This settles a particular cancelled booking and does not allow unused rewards to be withdrawn. We do not promise that redirecting a refund is available for every booking.

Unconfirmed allocation or refund destination is reviewed. There is no need to submit the same cancellation or refund again; each confirmed operation restores credit once, and a share returned to the customer’s card does not restore credit. Status and settlement appear in the account. Card refund posting also depends on the bank and payment provider.

10. Reward corrections and fair use

A cancelled, unfulfilled or refunded stay may remove or reduce its referral reward. If already released, a correction is recorded and the affected settlement is paused for review. If paid or spent, we explain the basis and amount. Settlement may require a credit note, an offset against future amounts where legally permitted or an agreed repayment. We do not automatically charge the participant’s card for this.

Fictitious bookings, self-referrals, artificial purchase splitting, impersonating BELVOYA, spam and bypassing rules are prohibited. Commercial publications must be clearly disclosed and comply with applicable law and channel rules. Participants are not authorised to take payments or make commitments on BELVOYA’s behalf.

Reasonable suspicion of abuse may lead to proportionate suspension of links or settlements. We explain decisions and allow them to be challenged. A review hold alone does not automatically forfeit legitimately earned rewards.

11. Data and assistance

Participant, business, document and settlement data are processed to administer the program, verify referrals, meet accounting duties and handle claims under the BELVOYA privacy notice. Participants receive information needed for their own settlement, not referred guests’ personal information, card details or confidential supplier costs.

Check the program dashboard for application, reward, invoice and payout status; not every change sends an email. Submit complaints through the contact form or by post, identifying the account, case reference, problem and requested remedy. Do not send full card numbers or passwords. We respond within 14 days of receipt. Requests for clarification do not limit statutory deadlines or rights.

12. Leaving and rule changes

You can leave free of charge at any time by contacting BELVOYA while retaining your ordinary account. New referrals end; existing valid referrals and available rewards are settled under their saved rules. Leaving, suspension or program closure does not automatically forfeit legitimately earned rights or convert individual credit to cash. When closing an option we provide a practical opportunity to settle or use earned rewards.

Rules may change because of changes to the offering, supplier settlement, law or security requirements. Material changes receive a new published version and participant notice before applying to future referrals. New terms require separate acceptance; sign-in is not consent. Declining does not remove rewards for already attributed bookings, which retain their earlier rule version.

Program terms supplement the service terms and do not change an individual booking’s conditions. They do not exclude mandatory consumer rights or liability that cannot lawfully be excluded. Applicable law governs matters not addressed, while preserving the consumer protections that apply.
